Start with the problem, not the technology

A business may receive similar information in different formats, check it in several places and prepare a next step. Before choosing a tool, identify which part of the work repeats, what can be handled with clear conditions and where a person needs to review.

When the rules are clear, automation is enough

When inputs and the next action are predictable, a fixed rule or system connection is usually the simplest solution. After an order is approved, for example, a system can transfer known details to another record and notify the responsible person. AI is unnecessary when the information does not need interpretation.

When information varies, AI can help interpret it

AI can help when information arrives as free text or differently formatted documents and its meaning must first be interpreted. AI can classify it or suggest fields; rules can then check known conditions such as required information or a matching record. Unclear cases should go to a person.

An AI agent is useful only when context and actions are needed

An agent may suit a multi-step task that requires retrieving information from permitted sources, choosing a next step and using predefined tools. Permissions should define what it can view and change. A person approves unusual or consequential actions; an AI agent should not be treated as a fully autonomous employee.

Example: a supplier invoice

AI may help interpret invoice information, while clear rules check the supplier, purchase order and possible duplicates. If records do not match or context is missing, an employee reviews the case and approves what happens next. An agent is only needed if the task also has to gather information from several permitted sources and prepare a specific action.

Keep unclear cases and accountable decisions with people

Unclear information, conflicting records and decisions with significant consequences are explicit pause or approval points. Choose the simplest approach that completes the task and defines what happens when an exception occurs.

In short

Do not use AI when a rule or integration is enough. Do not build an agent when AI assistance in one step will do. Match the complexity of the technology to the actual work.
