What actually changes here?

Supplier invoices can vary in layout and in how information is presented. AI can help interpret a document, but it does not by itself approve an invoice or establish that it is correct. Validation, exception routing and approval are distinct process steps.

AI

  • interprets the document and suggests supplier, invoice number, date and amount fields
  • identifies a possible document type and flags unclear content for review

SYSTEM

  • matches supplier details against known records
  • checks a related purchase order when one is available
  • checks for possible duplicates and required fields
  • prepares only validated information to continue to accounting

HUMAN

  • reviews unclear fields or mismatches
  • decides what to do when an order or source record cannot be found
  • completes the company’s required invoice approval

There is no need to automate everything at once

Not every business needs AI for invoice handling. If documents and fields are predictable, an import and clear rules may be enough. Add AI only when interpreting variable document content is a real process need.

Actual checks, available order data and approval steps depend on the company and its systems.
